Information for speakers in the regular sessions

 

IMPORTANT DATES FOR SPEAKERS

  • November 17 at 14.00 EET- Speaker information session
    • Information session will be held in Zoom and the recording will be shared to speakers who can't attend - LINK TO JOIN IS HERE
    • Separate information session is organized for the workshop hosts at 10.00 EET. See more information below
  • November 18 - Deadline to submit your slides for the participants
    • Please log in to your ExOrdo account and click submit presentation material
  • November 18 - Deadline to submit your pre-recorded video if you are not presenting live

 

INFORMATION FOR SPEAKERS

  • Minute programme has been published. All times shown are EET
    • Organizer reserves right for changes
  • Speakers have two options for presentation
    • Live presentation at announced time via Zoom
      • Please ensure that you have a good internet connection, camera and microphone for the presentation
      • You are in charge of sharing your slides
      • Join the zoom meeting 10 minutes before the session starts
    • Pre-recorded video presentation and joining live for the Q&A session
      • Deadline for pre-recorded video is November 18
      • Please deliver your video to manni.jarvinen[at]ril.fi (ie. via Wetransfer)
        • Please state your session, presentation time and ExOrdo Id when sending your video!
      • Organizers will play the video at announced time.
      • Join the zoom meeting 10 minutes before the session starts
    • Total length of the presentation is 15 minutes (12 minutes is reserved for the talk and 3 minutes for the Q&A).
  • Presentation slides should be shared to participants via ExOrdo account by November 18
  • We will have a virtual platform for the event and zoom meetings will be streamed to the platform.
    • Please note that we are recording all the presentations and the recordings will be available via the platform after the event.
  • Participants will watch the presentations via the virtual platform and can ask questions using the chatbox
  • Each session will have a chairperson who is responsible of running the session.
    • The speakers and chairperson are present in the zoom meeting but everyone else are using the virtual platform to watch the sessions.

  • Calendar invitations will be sent to all speakers in November
    • Calendar invitation will include the zoom link for your session

 

Speaker rehearsals / Information session

We are organizing rehearsal / information session for the speakers on November 17 at 14.00 EET.

In this session we will show how the virtual platform works and how the sessions are organized in the zoom. Session will be recorded and the recording will be shared to speakers. LINK TO JOIN IS HERE

 

Preparing the presentation

Here are some guidelines to consider when preparing your presentation:

  • Name your objective clearly and be sure to present the core of the content. Make your presentation easily understandable!
  • Know who you are speaking to
  • Make your presentation visually interesting

How to present

  • It is always good to stand up when presenting. Place the laptop into your eye level.
  • Look at the camera
  • Rehearse the timing in advance

 

Social media

Please use #SBEfin2022 when posting to social media. Organizers will make a speaker cards for everyone (will be shared via email). You can tag organizer's LinkedIn and twitter if you like when posting.

 

Information for the workshop hosts and speakers

  • Please note that workshops are organized differently to the regular sessions. We are using MS Teams for the workshops as then we can ensure two way communication between the workshop hosts and the participants.
  • Information session for workshop hosts will be organized on November 17 at 10.00 EET. Teams link to join is here
  • Calendar invitations will be sent to the workshop hosts and speakers including the teams links. For participants the teams links will be available in the virtual platform!
  • We will record the workshops and the recordings are shared in the virtual platform.
  • Total length of your workshop is 80 minutes.
  • Workshop hosts are responsible of running the workshop. There will be a personnel present representing the organizers in each workshop and organizers will record the workshop.

 

 

Information about the two tracks in this conference

Scientific track

Scientific submissions will go through two stage double blind review process (abstract and full paper) and the final acceptance will be made based on the full papers. Accepted papers will be INDEXED and published via IOP Conference Series: Earth and Environmental Science. Full papers will be also published in the conference online programme.

 

Industry track

Industry track will go through two stage review process and the final acceptance will be made based on the Extended abstract. Accepted Industry abstracts will be published in the conference online program but they will NOT be published in the proceedings/INDEXED

Scientific track,

For Scientific track a full paper is required.

Recommended maximum length for the paper is 8 pages (inc. references).

The template has to be followed. Our publisher can't publish papers which does not follow the template. Please submit your paper in PDF format!

When submitting you can update your original abstract text and title if needed. We also require a picture (head shot) from each author at this stage to be uploaded on the ExOrdo system.

Industry track

For industry track an Extended abstract is required.

We are using the same template as with Scientific submissions, but please note that only extended abstract is needed and your submission does not need to follow the scientific guidelines. Recommended maximum length is 4 pages.

By submitting you understand that your Extended Abstract and possible attachments will be shared in the online programme which will be available in the conference website! If your submisions gets accepted.

 

Registration of the presenting author

If your submission gets accepted we will require a registration and a payment from the presenting author(s). Price categories are available at the registration page.

 

Virtual conference

Organizers want to pay attention to environmental aspects and thus the SBEfin2022 Helsinki Conference will be organized virtually.
